Understanding user roles and permissions on Meow

Meow lets you invite team members, contractors, accountants, and other collaborators with specific roles — so each person only has access to what they need. There are nine roles available, ranging from full Admin access to narrow, purpose-built roles like AP Clerk or Card User.

Available roles

Admin

Full access to everything on the account.

Can: View all bank accounts, view balances and transactions, move money, manage treasury securities, manage integrations, manage team members, manage all cards, use cards, make payment requests and send invoices, manage bill pay, manage reimbursements.

Best for: Founders, CFOs, or anyone who needs complete control over the account.


Controller

Near-full access — everything except managing team members and reimbursements.

Can: View all bank accounts, view balances and transactions, move money, manage treasury securities, manage integrations, manage all cards, use cards, make payment requests and send invoices, manage bill pay.

Cannot: Manage team members, manage reimbursements.

Best for: Senior finance staff who run day-to-day financial operations but shouldn't manage who's on the account.


AP/AR Bookkeeper

Access to view, pay, and invoice — without the ability to move money directly or manage the team.

Can: View all bank accounts, view balances and transactions, manage integrations, use cards, make payment requests and send invoices, manage bill pay.

Cannot: Move money, manage treasury securities, manage team members, manage all cards, manage reimbursements.

Best for: Bookkeepers or finance assistants who handle invoicing and bill pay but shouldn't initiate wire transfers.


Bookkeeper

Read-only access to financial data, plus integrations and card usage.

Can: View all bank accounts, view balances and transactions, manage integrations, use cards.

Cannot: Move money, manage treasury securities, manage team members, manage all cards, make payment requests and send invoices, manage bill pay, manage reimbursements.

Best for: External accountants or bookkeepers who need to pull data and sync to accounting software but shouldn't initiate any payments.


Viewer

Read-only access to balances and transactions, plus card usage.

Can: View all bank accounts, view balances and transactions, use cards.

Cannot: Move money, manage treasury securities, manage integrations, manage team members, manage all cards, make payment requests and send invoices, manage bill pay, manage reimbursements.

Best for: Team members or stakeholders who need visibility into account activity without the ability to take any actions.


Card Manager

Can manage and use all cards — but has no visibility into bank accounts or balances.

Can: Manage all cards, use cards.

Cannot: View all bank accounts, view balances and transactions, move money, manage treasury securities, manage integrations, manage team members, make payment requests and send invoices, manage bill pay, manage reimbursements.

Best for: Office managers or operations leads responsible for issuing and managing cards across the team, without needing access to company financials.


Card User

Can use their own card only. No access to anything else.

Can: Use cards.

Cannot: View all bank accounts, view balances and transactions, move money, manage treasury securities, manage integrations, manage team members, manage all cards, make payment requests and send invoices, manage bill pay, manage reimbursements.

Best for: Individual employees who receive a card but should have no access to company account information.


Invoice User

Can create and send invoices only.

Can: Make payment requests and send invoices.

Cannot: Everything else.

Best for: Sales or operations team members who send invoices to customers but don't need access to the broader account.


AP Clerk

Can manage bill pay only.

Can: Manage bill pay.

Cannot: Everything else.

Best for: Accounts payable staff who process vendor payments but shouldn't have broader financial access.


How do I invite a team member?

  1. Navigate to the Team section in the bottom-left of your Meow dashboard.

  2. Select Invite User.

  3. Enter their email address and select the appropriate role.

  4. They'll receive an invitation email to accept. No identity verification is required — they just accept the invite.

Can I change a team member's role after they've been invited?

Yes. You can update a team member's role at any time from the Team section of your dashboard.

Can I remove a team member?

Yes. Admins can remove any team member from the Team section. Removing a team member immediately revokes their access and deactivates any cards issued in their name.
